Sales Administrator / Paralegal

Manage all administrative aspects of sales processing and documentation including quotes, special requests and purchase orders for domestic and international customers. Ensure accuracy of billing, shipment and adherence to company terms and condition as well as import/export requirements. Assist customers and Sales personnel with related questions and/or problems. 

Essential Responsibilities 

Administrative – 30%

  • Create and maintain sales documents and logs including SalesForce database, revenue forecast sheet, users list, PO, CQR and shipment logs.
  • Support Marketing in material development and marketing campaigns
  •  Create and maintain sales (internal) newsletter on a month bases as well as a customer (external) newsletter on a quarterly bases.

 Tenders – 15%

  • Manage all administrative aspects of sales processing and documentation including quotes, RFQ/RFP, special requests, and purchase orders.
  • Compare commercial terms on customer tenders to PHI terms and conditions in order to remove or mitigate any deviations.
  • Assemble/organize all relevant materials relating to customer tenders including the commercial response and pricing proposal in order to issue a PHI USA bid.
  • Refer tender technical specification to appropriate PHI personnel in order to ensure proper evaluation.

Sales Orders – 30%

  • Evaluate customer Purchase Orders against PHI USA terms and conditions in order to identify and address any conflicts.
  • Send PHI USA purchase order information to ULVAC-PHI for system and component sales and to PHI purchasing department for non-inventory items.
  • Ensure accuracy of billing while updating and managing company financial forecast and order logs.
  • Coordinate shipments from PHI USA and ULVAC-PHI to customers in the U.S. and EMEA while ensuring compliance with as import/export requirements.
  • Refer customer CQRs (custom quote request) to the Specials committee in order to ensure thorough feasibility analysis.
  • Communicate with Service Department regarding recent sales and service contract purchases

 Contract Lab - 5%

  • Communicate monthly with Contract Lab Scientist for billable analysis work that has been completed while updating the contract lab tracking sheet, forecast file, and billing.
  • Assist in setting up new customers and filling out customer inquiry forms

  Sales Support/Quoting - 20%

  • Provides administrative support to the sales team and global representatives by responding to inquiries regarding new system sales, upgrade options and creating custom quote upon request. Maintain and update pricing for standard product offering
  • Serve as PHI USA Sales liaison for ULVAC-PHI, Sales reps and customers in order to provide quick and efficient assistance for any sales issues.
  • Create and submit commission reports for sales managers and global representatives
  • Maintain margin analysis for current and future quotes

  Qualifications

Education Required -   Associate or Bachelor’s Degree   – business or related  

         Paralegal certification a plus

Experience Required 

   A minimum of three years of experience in handling complex administrative tasks and responsibilities.

 Knowledge and skills

  • Import/Export experience preferred
  • Excellent written and verbal communication skills
  • Requires good computer skills, workable knowledge of Microsoft office including word and excel
  • Strong organizational skills with attention to details
  • Paralegal knowledge preferred

STAFF SCIENTIST  (TOF SIMS)

Staff Scientists are applied surface science experts that perform instrument demonstrations and support department objectives.  Staff Scientists provide technical expertise to the company that is used to shape demonstration strategies, create marketing materials, provide input for new product planning, and contribute to the solution of product problems.  Staff Scientists are part of the public scientific face of the company.

Essential Responsibilities 

  • Performs instrument demonstrations
  • Maintains instruments in “demo ready” condition
  • Convincingly demonstrate the key performance strengths of the instrument
  • Prepares demo reports that communicate the value of the results and the strengths of PHI’s instrument to the customer.
  • Conducts demo report follow up reviews with customers via Webex
  • Provides on-site instrument training at customer sites and develops training materials
  • Acts as a company expert in the use and application of instruments in his/her product line
  • Develops audience appropriate sales and marketing materials for his/her product line as first author
  • Mentors product line co-workers in preparing marketing publications
  • Supports inter-departmental activities including the review or preparation of sales tender documents, software testing, and corrective action efforts
  • Participates in new product planning activities with the voice of an expert user and a representative of the customers voice
  • Represents the company by attending and presenting at scientific conferences

QUALIFICATIONS

MS or PhD Degree in Chemistry, Physics or Materials Science

Five years of experience in surface analysis or analytical laboratory activities

Minimum of 2 years of TOF-SIMS experience 

Excellent verbal and written English communication skills

Works well in a team environment

Travel20% (domestic and international
